A number of years ago, while attending an executive study course at Harvard, I had a conversation with a colleague about what was going on at home as well as at our offices in Elizabeth, CO while we were supposed to be bettering ourselves in Boston.
The course was filled with entrepreneurs from all over the world who were running small businesses ($1-$20 M in revenue). We were all there to improve ourselves and our business acumen, but many of us were trying to manage small children, marriages, family obligations, community responsibilities alongside the growing of our fledgling businesses.
At the time, I did not have any help outside of myself and my former husband to help manage the home front activities.
I remember my friend looking into my eyes incredulously and saying “Kim. You REALLY need to get some help!”
At that time I was always running 1,000 miles an hour with my hair on fire for weeks, months and then years at a time. In retrospect, if I had it to do over again, I would have gotten help much sooner.
Here’s a little help in the form of three quick ways you can manage your schedule more effectively for you and your family; which will hopefully prevent YOU from running around with your hair on fire.
Get it all out on paper. I'm a huge fan of using technology when it makes me more productive and faster, but I’ve found (after years of experimenting and implementing) that a hybrid of both technology and good old paper and pencil or pen serves me best. If I get everything out of my head and onto paper, I can start prioritizing, then put it in a technology-based document or schedule which will get the ideas and projects scheduled, up and running. Always remember to factor in wiggle room. You will be in the middle of a project and someone you love will call with an “emergency”, or your computer will freeze and need 45 minutes of rebooting to get it back on track, or your flight will be delayed, or your tires will need to be replaced after running something over...on and on and on it goes.
We all have the tendency not to factor in these types of things when we are going throughout our day, but those are the types of things that can really derail us. Factor in a little fudge time between events and uninterrupted work time each day in order to account for the unexpected.
Try not to look at everything as absolute. Always be on the lookout for a better way. For example, thinking that you need a certain amount of desk time to prepare for an event or create a project … sometimes that's the case and other times it's not.
For example, I’ve been known to work on projects (on my phone using Google docs, LinkedIn, Fiverr, Canva or Facebook Pages) while simultaneously getting a pedicure (SCORE!).
I’ve also found that when I have projects coming up, I'm subconsciously playing a tape in the back of my mind, which is constantly seeking answers and looking for solutions and guidance. Often times I will get the needed information from a passage in a book, listening to a podcast or a conversation with someone.
I may get a flash of insight first thing in the morning or while working out (this happens a LOT!). So allow your superpowers to work for you rather than always being analytical ... especially when your schedule is overwhelming … superpowers can save you lots of time in the long run.
So give yourself a clear head, a little wiggle room; and don't forget to access your super powers as a fire extinguisher when things get a little too hot on the scheduling front.
